Grant administration services
RUN THE ROUND.KEEP THE TEAM.
Grant administration support for organisations that distribute funding. Backed provides experienced capacity to plan, configure, administer, report on and improve a programme, while your organisation keeps policy, governance and every funding decision. We work as an extension of your team, not a replacement for it.
When capacity is the constraint
THE PLATFORM IS READY.THE TEAM IS STRETCHED.
Grants work does not arrive in a smooth line. It arrives in waves, and then every applicant, assessor, executive and board member needs something in the same fortnight.
01
No headroom before a round
A round is approaching and the team is already at capacity.
02
The administrator has gone
The grants administrator has left, changed roles, or is quietly covering three jobs.
03
A programme to stand up
A new programme needs its operating model set up properly the first time.
04
Senior people on the helpdesk
Applicant and assessor support is pulling senior people away from the work only they can do.
05
A peak, not a permanent role
The programme has a seasonal peak that does not justify a permanent hire.
06
Not another round like the last
You want to improve the process, not repeat last round with more spreadsheets.
None of this is a software problem. It is a capacity problem, and the answer is people who already know the system, the workflow and the stakes.
What we can take on
ACROSS THEFUNDING LIFECYCLE
Choose the responsibilities that remove the most pressure. We define a scope, work inside your governance model, and stay accountable for delivery of that scope.
Programme setup
Turn policy and programme intent into a working operating model: forms, eligibility rules, assessment stages, communications, roles, delegations and timelines.
Round administration
Keep a round moving from launch through assessment to decision, with consistent checks, clean records and fewer things discovered late.
Applicant & assessor support
A responsive point of contact for applicants, assessors and internal stakeholders, so your team stays on the programme rather than the inbox.
Reporting & data readiness
Decision-ready views, board reporting and exports prepared from the record rather than reconstructed from files at the end of a quarter.
Platform administration
Templates, communications, users, permissions and round configuration kept in step with the way the programme actually works, not the way it worked at go-live.
Continuous improvement
Review what created friction, refine the workflow, and carry the learning into the next round instead of resetting to zero each time.
One platform, two kinds of support
WHERE THE LINESITS
The software gives your team the system. Services gives you people to help operate the programme through it. Your organisation keeps policy, governance and every funding decision. That boundary does not move.

HELP FOR THE SEASONYOU ARE IN
Start with the pressure in front of you. Expand it, reduce it, or hand the work back as the programme and your internal capability change.
01
Peak-period support
Add capacity when the round is busy.
For the weeks or months when applications, assessment, decisions and reporting land at once and everything is due to someone.
02
Ongoing partnership
Keep a grants specialist close.
A consistent allocation of expert time for platform administration, programme operations and improvement between rounds.
03
Transition support
Hold the line while the team changes.
Continuity through a new hire, a restructure, a programme launch or a handover, tapering as internal capability rebuilds.
How an engagement starts
CLEAR SCOPE BEFORETHE WORK BEGINS
Find the pressure
We map the programme calendar, the responsibilities creating risk, and what your team must continue to own.
Agree the lane
Outcomes, capacity, service boundaries, working rhythm and escalation points, written down before anyone starts.
Work as one team
A named lead works inside your agreed process, backed by the people who build the platform.
Review and adapt
We report on progress, surface what should change, and adjust support as the programme moves through its stages.

What you keep
Policy. Governance. Every decision.
We help design and run the process around your decisions, keeping information complete, participants supported and the record defensible. We do not sit on your panel, we do not moderate your scores, and we do not sign your letters.
No rate card. No one-size package.
The practical details
Questions to ask before you start
Is this included in the subscription?
No. The subscription provides the platform; administration services add people and time. We scope the two separately so it is always clear which is which, and so you can stop one without losing the other.
Do we have to commit to an ongoing arrangement?
No. Some organisations want focused support around one or two peak periods a year; others want a standing allocation. The engagement is shaped around the rhythm of the programme.
Will you make funding decisions for us?
No, and this is the boundary the whole service is built around. Your organisation keeps policy, governance and decision authority. We help design and run the process around those decisions, keeping the information complete, the participants supported and the record defensible.
Can you work alongside our existing grants team?
That is the usual arrangement. We agree where responsibility sits, take the parts creating the most pressure, and work as an extension of the team rather than another layer to manage.
What does it cost?
It depends on the complexity of the programme, the timing and the capacity you need. We do not publish a rate card, because a six-week peak engagement and year-round programme support are not the same product. The scope and the commercial model are agreed before work begins.
